Committee Roles:

Committee Responsibilities: 

Chairperson: 

  • chair all Committee Meetings, the Annual General Meeting and Extraordinary Meetings. If the Chairperson is absent or declines to take the chair, the Vice Chairman shall preside. 

  • not vote at any Committee Meeting unless he or she declines to take the chair, but shall have the casting vote should meetings be tied on any one issue. 

  • report on the activities of the Club at the Annual General Meeting 

  • ensure that adequate advice and assistance is available to other members of the Committee 

  • Ensure the ongoing task table is updated after every meeting 

  • Keep members of the Committee accountable to the tasks set on the task table 

Vice Chairperson 

  • chair all Committee meetings, the Annual General Meeting and Extraordinary Meetings in the absence of the Chairperson 

  • record the proceedings of all such meetings and document them as Minutes in the absence of the Secretary 

  • be prepared to assist other committee members in the execution of their duties 

Secretary 

  • give notice of all Committee Meetings, the Annual General Meeting and Extraordinary Meetings, together with an appropriate agenda 

  • record the proceedings of all such meetings and document them as Minutes 

  • handle all administrative matters for the Club including keeping all official documents up to date 

  • maintain a database of all Club Members 

Treasurer  

  • keep proper records of the Club’s financial transactions in accordance with current accepted accounting rules and practices 

  • prepare an annual budget for the Club and the Game Team and regularly inform the Committee of progress against that budget 

  • make all records, procedures and accounts available on request to the Committee; 

  • present annual accounts to the Club at the Annual General Meeting; 

  • Managing all ticket payments for events, issuing invoices and receipts upon ticket purchase and being in charge of all petty cash kept on the field 

Site and Safety Officer  

  • Liaises with the site owner regarding site safety matters 

  • Produces and maintains up to date general risk assessments for activities on site 

  • Assesses any potential risk as they may arise 

  • ensures an up to date and adequate insurance for events 

  • Manages game boundaries in accordance with safety risks and exposure to members of the public 

  • Monitors the accident log and ensures that is kept up to date 

  • Assesses weapons and armour at the beginning of events to ensure they are fit for purpose and give advice to players on how to maintain their weapons and armour  

Public Relations  

  • manage the regular posting of announcements (with photos where possible) on all social media accounts 

  • enthuse players about upcoming events 

  • Manage all competitions after approval of the competition by the Committee 

  • manage marketing material and advertising events  

  • Manage post event photographs
